Records and Registration

Records and Registration is responsible for the maintenance and management of all academic records for current students and alumni of the Oakland University William Beaumont School of Medicine.

Records and Registration is responsible for:

  • Medical student registration
  • Processing grades and grade changes
  • Enrollment verifications
  • Data reporting
  • Degree and post-graduate certifications
  • Graduation audits
  • Records maintenance
  • Diplomas
  • Room scheduling

The office observes and is guided by the Family Educational Rights and Privacy Act (FERPA) in managing student information.

Personal Information

Changes in personal information may be submitted online via sail.dbctl.com. SAIL is a secure, password protected system that allows convenient 24/7 online access from anywhere with an internet connection.


Address Change

OUWB students may submit their address changes online through the secure SAIL system under the Personal Information section. The SAIL system allows convenient 24/7 online access while keeping your information safe and secure through the password protected system. Online address changes through the secure SAIL system is the university’s preferred way for students to submit their address changes. 


Legal Name Change

Students also may change their legal name in person with Records and Registration located in the CMSS suite. To process a name change in person, bring a photo ID and legal documentation such as a marriage license, divorce decree or other court document that clearly connects the two names to the same individual.

Registration
Registration 

Records and Registration will register students each semester for their required courses. An electronic form will be provided to each class annually for completion electronically. Registration in courses/clerkships is required each semester a medical student is enrolled, unless the student is on a leave of absence, withdraws from the School of Medicine, or is dismissed from the program.


Refund Policy
  • 100% refund within the first 2 weeks of the semester

  • 50% refund before the end of the 7th week of the semester

  • 0% refund after the end of the first 7 weeks of the semester

Letter Request

Requests for letters (academic standing, enrollment verification, graduation, etc.) may be completed through the completion of the letter request form. Allow two days for processing.

Academic standing refers to the standard of achievement obtained based on grades earned.

Enrollment verifications serve as documentation of current or past student enrollment or graduation status.

Transcripts

A transcript is a complete account of each student’s academic history at OUWB. Courses, along with grades, are listed for all periods of time in which the student has been registered.


Official vs. Unofficial Transcripts

Official transcripts are printed on security paper with the University Registrar’s signature.

Unofficial transcripts are printed via SAIL self-service


How to request transcripts
  • Log in to SAIL with you NetID username and password
  • Click on Student Services and Financial Aid
  • Click on Student Records and Account Summary
  • Click on Academic Transcript
  • Select either Official or Unofficial transcript from the dropdown menu
    • If you select Official Transcript, you will be prompted to enter a destination address for where you would like the transcript to be sent.
    • If you select Unofficial Transcript, your transcript will appear for viewing or printing at your leisure.

NOTE

Degrees are conferred around the first of June after final degree audits are completed by Oakland University and approved by the Board of Trustees. Records and Registration follows the directions on the certification forms. If you submit your forms early, we will hold your forms and mail them off per the instructions on the form. Allow two (2) business days for the completion of forms.

The submission requirements and processing/mailing timeline for certification and verification forms are as follows:
  • Forms with no submission requirements will be processed and mailed 2-3 days after submission.
  • Forms that may be completed no more than 3 months prior to graduation will be processed and mailed 2-3 days after submission if after March 1. March 1st is the earliest these forms will be processed.
  • Forms that may be completed no more than 30 days prior to graduation will be processed and mailed 2-3 days after submission if after May 1. May 1st is the earliest these forms will be processed.
  • Forms that may only be completed after graduation will be processed and mailed 2-3 days after submission if after June 1. June 1st is the earliest these forms will be processed.
Alumni Information
MSPE Request

Requests for copies or uploads of the Medical Student Performance Evaluation (MSPE), can be made with the completion of the MSPE request form.

Duplicate Diploma

Duplicate copies of the diploma may be requested with the completion of the duplicate diploma request form. OUWB does not maintain copies of student diplomas. Duplicate diplomas are available for a nominal fee that covers the cost of the diploma (13" x 9") and the shipping to your desired location.

EMPOWERsomsis.dbctl.com Empower is OUWB’s student information system that contains course grades, attendance and advising notes.

Bannersail.dbctl.com
Banner/SAIL is the Oakland University student information system from which transcripts, financial aid, and billing statements are generated.

OASIS is a student management system used to manage grades in the clinical years (M3 and M4), as well houses the OUWB catalog of courses.

MOODLE: moodle.dbctl.com
Moodle is a course management system used for course maintenance, quizzes, tests, and attendance.

Students may log on to all OUWB systems using their NetID and password.
